Viewing a client’s attendance history

You can view all the services a client has booked and assets they have used on their attendance history, which can be found through their client profile. Using the attendance history, you can change the client’s attendance status and reconcile unpaid visits.

In this article:

    To view a client’s attendance history:

    1. On the Top Nav Bar, click the Search button , and enter the client’s information in the box. You can enter the client’s name, phone number, email address, UID, or client ID.
    2. In the list of clients displayed, click the client’s name.
    3. On the client’s menu, click Attendance.
    4. On the Attendance menu, click Attendance History. The history of services the client has attended is displayed.

      • To print the report, click Print.

    Summary cards in the attendance history

    The summary cards at the top of the page provide an overview of the key information in the report.
    Summary CardDescription
    Total SessionsThe total number of sessions the client was booked into during the selected date range, regardless of their attendance status.
    Total ClassesThe total number of classes the client was booked into during the selected date range, regardless of their attendance status.
    Total EventsThe total number of events the client was booked into during the selected date range, regardless of their attendance status.
    Total Gym VisitsThe total number of gym visits the client was booked into during the selected date range, regardless of their attendance status.
    Total AppointmentsThe total number of appointments the client was booked into during the selected date range, regardless of their attendance status.
    Total AssetsThe total number of assets used by the client.
    Wait ListThe total number of services for which the client is on a wait list.
    Booking RequestThe total number of booking requests made by the client.
    Lifetime VisitsThe total number of services this client has attended. This number only includes client visits where the attendance record is marked as Attended.

    NoteThe total in this summary card always represents the total attended services for the selected client. Applying filters to the report will not change this number.

    Headings in the attendance history

    Heading nameDescription
    Date and TimeThe date and time at which the service occurred, and an icon that represents the payment status.

    Note You can customize the view and choose whether to include the date and time at which the service occurred in separate columns. For more information, see Viewing a report.
    Service DetailsThe name of the service, the location the service was booked at, and the individual who booked the service.

    AssetThe name of the asset booked for the service, if applicable. Click the View asset layout button to see the booked asset in context.
    Staff NameThe name of the staff member who conducted the service, along with their photo.
    Paid WithThe payment status for the service. Click the Edit button to change the payment method or make a payment. For more information, see Reconciling an unpaid visit.
    CapacityThe number of available spots and the total number of spots allowed for the service.
    StatusThe client’s attendance status for the service. Statuses include Attended, Early Cancel, Late Cancel, No-Show, Booked, and Pending. Click the Edit button to change the client’s attendance status. For more information, see Changing a client’s attendance status.
    FormsThe forms associated with the service booking. You can monitor the completion status through the green  and red status indicators .

    If the form is complete, staff members with the corresponding staff role permissions can click on the form to view the responses. If the form is incomplete, they have the option to edit it.

    ActionClick the Action button in this column to open the Action menu. You have the following options:

    • Cancel Session – Select this option to cancel the client’s booking for this session.
    • Cancel All Recurring Sessions – Select this option to cancel all recurring sessions for the service.

    NoteVisits that have been removed from the client’s attendance history won’t display as visits in the corresponding client reports.
