Setting an asset’s working hours

After you have created a BOOK-A-SPOT™ asset, you can set its working hours. Working hours determine when the asset is available to be booked. Working hours can be set only for assets that are available to be booked separately from services.

To set an asset’s working hours:

  1. Click the App Drawer button .
  2. In the App Drawer, click Setup.
  3. On the Setup menu, click BOOK-A-SPOT™.
  4. In the list, click the asset whose working hours you want to set. You may have to browse or filter the list to find the asset.
  5. Under Asset Booking Rules, click ADD AVAILABLE TIME or ADD UNAVAILABLE TIME, depending on whether you want the asset to be available or unavailable for services during the specified time.
  6. Enter the time details:
    1. Under START DATE and END DATE, select the start date and end date, or select the Ongoing checkbox if you do not want to set an end date.
    2. Under DAY OF THE WEEK, select the days of the week to which the times will apply.
    3. In the START TIME and END TIME boxes, set the hours between which the asset will be available or unavailable.
    4. Under NOTES FOR (UN)AVAILABLE TIME, enter any relevant details about the available or unavailable time.
  7. Click SAVE.

To modify an asset’s working hours:

  1. Click the App Drawer button .
  2. In the App Drawer, click Setup.
  3. On the Setup menu, click BOOK-A-SPOT™.
  4. In the list, click the asset whose working hours you want to set. You may have to browse or filter the list to find the asset.
  5. In the row of the day you want to edit, click the Edit button .
  6. Modify the asset’s working hours:
    1. Select the dates that will be affected by your edits and click NEXT.
    2. Select the working hours that you want to edit and click NEXT.
    3. Click the Edit button  next to the items that you want to edit, make your changes, and click NEXT.
    4. If clients are affected by this change, choose whether their bookings are affected, whether they should be notified of the changes, and how they should be notified of the changes. Click NEXT.
    5. Review your changes.
  7. Click COMPLETE. The asset’s working hours are updated.

To cancel an asset’s working hours:

  1. Click the App Drawer button .
  2. In the App Drawer, click Setup.
  3. On the Setup menu, click BOOK-A-SPOT™.
  4. In the list, click the asset whose working hours you want to set. You may have to browse or filter the list to find the asset.
  5. In the row of the day you want to edit, click the Cancel button .
  6. Cancel the asset’s working hours:
    1. Select the dates that you want to cancel and click NEXT.
    2. Select the hours that you want to cancel and click NEXT.
    3. If clients are affected, choose whether their services are affected, whether they should be notified of the cancellation, and how they should be notified of the cancellation. Click NEXT.
    4. Review your changes. Determine whether the canceled hours should be displayed on your schedule.
  7. Click COMPLETE. The asset’s working hours are updated.
