Expiring Purchase Options Report

The Expiring Purchase Options Report is a client report that displays a list of memberships and passes that are expiring during the selected date range. This report can be used to gain insights about different types of purchase options and how clients are using them, as well as to manage communications with clients whose purchase options are expiring soon and should be buying again.

    To view the Expiring Purchase Options Report:

    1. Click the App Drawer button .
    2. In the App Drawer, click Reports.
    3. On the Reports menu, click Clients.
    4. On the Clients menu, click Expiring Purchase Options. The Expiring Purchase Options Report is displayed.

    Headings in the Expiring Purchase Options Report

    Heading Description
    Client The name, email, and profile image of the client associated with the purchase option is listed in this column. Relevant details about this customer, such as pass status, waiver status, contract status, special notes, unpaid visits, and account balance will be noted here by small icons. Hover over any icon to learn more.
    Pass Type The name of the purchase option is listed in this column. Click the purchase option to view the purchase option on the Passes & Memberships section of the associated client’s profile.
    Location The location that the client last visited.
    Last Visit The last service that the client attended at one of your locations is listed here, along with the date, time, and staff member for that service.
    Visits Remaining The number of visits remaining on the purchase option are listed in this column. If the purchase option is not limited by visits, this entry will read Unlimited.
    Other Active Purchases If the client has other active purchase options associated with their account, Yes will be listed in this column. If the client does not have other active purchase options associated with their account, No will be listed in this column.
    Expiry Date The date that the purchase option is expiring is listed in this column, along with a label that indicates how soon it will expire.

    Advanced filters in the Expiring Purchase Options Report

    Filter Description
    Client Status Use this filter to determine which clients to include in the report based on whether they currently have an active Purchase Option.
    Groups Use this filter to determine which clients to include in the report based on their client group.
    NoteThis filter will pull any relevant information from the available fields. For example, if you filter for groups a, b, and c, the filter will find clients from group a, group b, group c, and any combination thereof, as opposed to only finding clients who belong to all three groups.
    Class & Events Purchase Options Use this filter to determine which Class & Events Purchase Options to include in the report. Class & Events Purchase Options are Purchase Options with the Class/Events Purchase Option Service Category.
    Expired Passes Use this filter to determine whether to include Purchase Options in the report based on whether the Purchase Options are expired or close to expiration.
    Client Types Use this filter to determine which clients to include in the report based on their client type.
    Appointments Purchase Options Use this filter to determine which Appointments Purchase Options to include in the report. Appointments Purchase Options are Purchase Options with the Appointments Purchase Option Service Category.
    Auto-Renew Use this filter to determine whether auto-renewals of Purchase Options are included in the report.
