Contacting, invoicing, and charging clients from the balance due report

Clients can be contacted, invoiced, and billed directly from the balance due report. This report can be filtered to list clients with negative or outstanding account balances, clients with positive or pre-paid account balances, and clients with even or zero-dollar account balances. Use the balance due report if you wish to contact, invoice, or bill clients with certain account balances.

To view your balance due report:

  1. Click the App Drawer button .
  2. In the App Drawer, click Reports.
  3. On the Reports menu, click Clients.
  4. On the Clients menu, click Balance Due Report.

To filter your balance due report:

  1. Click the Advanced Filter button in the top right corner of your report.
  2. Under Client Types, select the checkboxes next to Client Types that should be included. Clear the checkbox next to Client Types that should be excluded. For more information, see Client Types.
  3. Under Balance Status, select the checkbox next to Select All to see all statuses. Select only the checkbox next to negative to see only clients with negative balances. Select only the checkbox next to positive to see only clients with positive balances. Select the checkbox next to zero to see only clients with a balance of $0.
  4. Under Groups, select the checkbox next to groups that should be included. Clear the checkbox next to groups that should be excluded. For more information, see Client Groups.

To contact clients from the balance due report:

Select the checkbox next to CLIENT in the first column to select all clients listed or select the checkboxes next to only those you want to contact.

  1. Click QUICK Contact.
  2. Specify the medium of communication you want to use to contact your clients. The message customization page will be displayed:
    • If you are sending an email, click MAIL. Select a template from the list labeled SELECT A TEMPLATE or compose a new message. Ensure that you customize the message for the selected client(s) and the specific situation. For more details, see Email variables.
    • If you are sending an SMS message, click SMSms, then type your message in the text box.
    • If you are sending an push notification, click Push, then type your message in the text box.
    • If you are sending a postcard, click Postcard, then select a template from the list.
  3. Click SEND.

To invoice clients from the balance due report:

  1. Click the Invoice button invoice to the right of the client that you wish to invoice.
  2. A confirmation box will appear. Click OK to send the invoice. The invoice will be sent.

To charge clients from the balance due report:

  1. Click the Charge button charge next to the client that you are billing.
  2. If the client is paying with debit, input the amount under Debit Amount. If the client is using a different method of payment, select the icon that represents that method and input the appropriate information. For more information, see Making a sale.
  3. Click Complete to finish your transaction. After you have charged your client, the input amount will no longer be considered deferred revenue and will now be considered actual revenue.
