Contacting a group of clients

You can send emails, SMS messages, and push notifications to multiple clients at the same time. This can be done from the client list, any report with a QUICK Contact button, or an attendance list.

NoteYou cannot contact clients from any staff report.
NoteA maximum of 5000 clients can be selected at one time.

NoteIf you access the client list and have no default filters, no clients are displayed. You must create either a POWER Search or a QUICK Search to populate the list.

In this article:

To contact a group of clients from the client list:

  1. Click the App Drawer button .
  2. In the App Drawer, click Clients.
  3. On the Clients page, filter or search for the group of clients you want to contact:
    • Click the Advanced Filter button  to filter your clients by custom fields. For more information, see Client list advanced filters.
    • To search the report using custom criteria, select an existing or create a new Power Search. Alternatively, you can create a QUICK Search to perform a one-time search.
  4. In the first column, select the checkbox next to CLIENT to select all clients listed, or select only the checkboxes next to the specific clients you want to contact.
  5. Click QUICK Contact.
  6. Select whether you want to send an email, SMS message, or push notification and then compose your message.
    • To send an email, click Mail.
      • To track the email message in your Email Campaign Report, set the TRACK AS A CAMPAIGN option to ON and enter the campaign’s name in the box.
      • To send the email to every selected client even if multiple clients share an email address, set the SEND TO EACH PROFILE option to ON.
      • Select a template from the list labeled SELECT A TEMPLATE or compose a new message.
      • Under Compose Email:
        • To change the subject that the email will have when sent, make any necessary changes to the SUBJECT.
        • To change the details of the sender of the email, make any necessary changes to the FROM NAME and the FROM EMAIL.
        • To BCC or CC specific email addresses on the email, select Send BCC or Send CC from the SEND CC/BCC list, and enter the email address that should be BCC’d or CC’d under RECIPIENT EMAIL ADDRESS. This email address will be BCC’d or CC’d on every email that is sent. This means that if you have chosen to send the email to 100 clients, the email address will be BCC’d or CC’d 100 times.
        • Enter the email details and message in the fields or make any necessary changes to the template. For more information, see Automated email template settings and Email variables.
    • To send an SMS message, click SMS. Select a template from the list labeled SELECT A TEMPLATE or compose a new message. Be aware of the SMS character limitations.
    • To send a push notification, click Push and type your message in the text box.
  7. Click SEND.

To contact a group of clients from a report:

    1. Click the App Drawer button .
    2. In the App Drawer, click Reports.
    3. On the Reports menu, click a report category.
    4. On the menu or in the list, select the report you want to view. The report must have a QUICK Contact button to be able to contact clients.
    5. On the report, filter or search for the group of clients you want to contact:
      • Click the Advanced Filter button  to filter your clients by custom fields. For more information, see Client list advanced filters.
      • To search the report using custom criteria, select an existing or create a new Power Search. Alternatively, you can create a QUICK Search to perform a one-time search.
    6. In the first column, select the checkbox next to CLIENT to select all clients listed, or select only the checkboxes next to the specific clients you want to contact.
    7. Click QUICK Contact.
    8. Select whether you want to send an email, SMS message, or push notification and then compose your message.
      • To send an email, click Mail.
        • To track the email message in your Email Campaign Report, set the TRACK AS A CAMPAIGN option to ON and enter the campaign’s name in the box.
        • To send the email to every client selected even if multiple clients share an email address, set the SEND TO EACH PROFILE option to ON.

    9. Click SEND.

To contact a group of clients from an attendance list:

  1. Click the App Drawer button .
  2. In the App Drawer, click Schedule.
  3. In the Schedule, find the Class or Event for which you want to view the attendance list, as follows:
    • If you are using Calendar View, click the Class or Event.
    • If you are using List View, in the Service column, click the name of the Class or Event.
  4. In the Class or Event window, click Attendance list. The attendance list is displayed.
  5. Select the checkbox next to CLIENT in the first column to select all clients listed or select the checkboxes next to only those you want to contact.
  6. Select whether you want to send an email, SMS message, or push notification and then compose your message.
    • To send an email, click EMAIL.
      • To track the email message in your Email Campaign Report, set the TRACK AS A CAMPAIGN option to ON and enter the campaign’s name in the box.
      • Select a template from the list labeled SELECT A TEMPLATE or compose a new message.
